At Quan Air, we believe clear expectations create a better customer experience. These terms help explain scheduling, fees, approvals, warranties, and project expectations.

Customer Policy Summary

  • Diagnostic or service fees may apply depending on visit type
  • No repair work beyond diagnosis without approval
  • Some jobs require deposits for parts or scheduling
  • Warranty approvals do not waive payment terms
  • Adult may be required on-site during service
  • We reserve the right to decline abusive or unsafe situations
  • We proudly serve all customers fairly and respectfully

1. Scope of Agreement

These Terms apply to all repairs, maintenance, diagnostics, equipment sales, installations, replacements, and related HVAC services performed by Quan Air (“Quan Air,” “Seller,” “we,” “us,” or “our”).

Any separate written proposal, invoice, estimate, or signed agreement forms part of this Agreement.


2. Estimates & Approvals

Estimates may be provided verbally, electronically, or in writing.

No repair or installation work beyond authorized diagnostics will be performed without Customer approval.

If hidden conditions, code requirements, access limitations, or requested changes arise, updated pricing or approval may be required.


3. Service / Diagnostic Fees

A service, dispatch, or diagnostic fee may apply for travel, inspection, troubleshooting, system evaluation, or diagnosis.

Advanced diagnostics such as leak searches, electrical tracing, airflow testing, drain clearing, or specialty troubleshooting may require separate approval and additional charges.

Promotions or specials may be subject to qualifying conditions.

At management discretion, certain fees may be credited toward approved repairs.


4. Payment Terms

Payment is due according to the approved estimate, invoice, or proposal.

Unless otherwise agreed in writing:

  • Service balances are due upon completion.
  • Repair balances are due upon completion unless deposit terms apply.
  • Installation balances are due upon substantial completion.
  • Special-order materials may require advance payment.

We may accept cash, check, card, financing, or other approved payment methods.

Returned payments or unpaid balances may incur reasonable fees where permitted by law.


5. Deposits

Quan Air may require deposits prior to scheduling work, reserving labor, or ordering materials for certain repairs or installations.

This may apply to:

  • specialty parts
  • evaporator coils
  • compressors
  • custom equipment
  • larger repairs
  • projects involving significant labor commitments

Remaining balances are due per invoice terms.


6. Warranty / Insurance / Third-Party Claims

Quan Air may assist customers working with manufacturer warranties, insurance claims, or home warranty companies when feasible.

However:

  • Third-party approval does not replace Quan Air payment terms.
  • Customers remain responsible for deductibles, uncovered items, upgrades, permits, diagnostics, and unpaid balances.
  • Claim approvals and reimbursement timelines are controlled by the third party.

Quan Air is not responsible for claim denials, delays, or reduced reimbursements.


7. Scheduling & Access

Customer agrees to provide safe and reasonable access to equipment and work areas.

An adult age 18 or older may be required to be present during service or installation.

Missed appointments, inaccessible equipment, unsafe conditions, aggressive animals, or inability to access the property may require rescheduling.


8. Permits, Code & Compliance

Where applicable, permits may be required.

Any work not included in the original estimate but required by law, inspection authority, manufacturer instruction, or discovered field condition may result in additional charges subject to approval.

Quan Air is not responsible for concealed defects or pre-existing code issues outside the agreed scope.


9. Change Orders

Additional work requested by Customer or made necessary by hidden conditions may require separate pricing or written change orders.

Payment for additional work may be required in advance.


10. Delays Beyond Our Control

Completion dates are estimates only.

Quan Air is not responsible for delays caused by:

  • weather
  • supply shortages
  • manufacturer backorders
  • permit delays
  • utility interruptions
  • labor shortages
  • unsafe site conditions
  • events beyond reasonable control

11. Existing Equipment & Reused Components

Quan Air is not responsible for the condition, performance, compatibility, or future failure of existing components not replaced during the job, including:

  • ductwork
  • line sets
  • drain lines
  • gas piping
  • thermostats
  • controls
  • electrical systems
  • attic access systems

Warranty coverage applies only to newly installed materials and Quan Air workmanship unless otherwise stated.


12. Paint, Finish & Cosmetic Repairs

Unless specifically included in writing, Quan Air is not responsible for repainting, drywall repair, texture matching, finish carpentry, landscaping restoration, or cosmetic patchwork related to installation access or project completion.


13. Personal Property

Customer should remove or protect valuables, electronics, furniture, and fragile items near work areas.

Quan Air is not responsible for damage to unsecured personal property in active work zones unless caused by our negligence.


14. Mold / Hazardous Materials

Quan Air does not test for or remediate mold, asbestos, lead, biohazards, or hazardous materials.

If such conditions are discovered, work may be suspended until properly addressed.


15. Limited Labor Warranty

Quan Air warrants workmanship for the period stated in the proposal or invoice.

This warranty does not cover failures caused by:

  • abuse or neglect
  • lack of maintenance
  • power surges
  • dirty filters
  • clogged drains
  • frozen coils
  • acts of nature
  • unauthorized repairs
  • misuse outside normal operating conditions
  • failure of unreplaced components

Manufacturer equipment warranties, if any, are provided by the manufacturer and subject to their terms.


16. Design Conditions & Performance

HVAC systems are designed using accepted industry methods and information reasonably available at the time of estimate.

Quan Air does not guarantee indoor temperatures beyond normal design conditions or outcomes affected by insulation, humidity load, air leakage, structural deficiencies, occupancy changes, or customer thermostat settings.


17. Right to Decline or Discontinue Service

Quan Air reserves the right to decline or discontinue non-emergency work when necessary due to:

  • abusive or threatening behavior
  • unsafe conditions
  • fraud concerns
  • repeated hostility toward staff
  • refusal to approve terms
  • inability to obtain required access
  • breakdown of communication or trust

Such decisions are never based on race, color, religion, sex, age, disability, national origin, or any legally protected status.


18. Limitation of Liability

To the maximum extent permitted by law, Quan Air shall not be liable for incidental, indirect, or consequential damages including loss of use, discomfort, or spoilage.

Any direct liability shall not exceed the amount paid to Quan Air for the specific service giving rise to the claim, except where prohibited by law.


19. Collections / Late Payment

Past-due balances may accrue reasonable late fees or interest where permitted by law.

Customer agrees to pay reasonable collection costs, court costs, and attorneys’ fees incurred to collect unpaid balances where allowed.

Quan Air retains applicable mechanic’s lien and statutory rights.


20. Cancellation

If Customer cancels after special-order materials are purchased, permits pulled, labor reserved, or work commenced, Customer may be responsible for incurred costs, restocking fees, and completed work.


21. Equal Service Commitment

Quan Air is committed to respectful and fair treatment of all customers and employees.

We do not discriminate based on race, color, religion, sex, age, disability, national origin, or any protected status.


22. Severability

If any provision of these Terms is found unenforceable, the remaining provisions shall remain in effect.


23. Governing Law

These Terms shall be governed by the laws of the Texas.


24. Acceptance

By scheduling service, approving work, signing a proposal, authorizing repairs, or making payment, Customer acknowledges and accepts these Terms & Conditions.
